Onboarding Guide: Setting Up Your New Learning Portal and Supporting Your Staff
Welcome! As you prepare for your Collaborative Classroom program implementation, your district or school will gain access to the Learning Portal. To ensure a smooth launch on Day 1, this guide outlines how technical setup works, what communications you will receive, and how to prepare your educators.
Step 1: Confirm Your Technical Integration Path
To ensure secure logins and accurate class rosters, your district will select a Learning Portal access path. You do not need to fill out a technical setup form yourself—your Collaborative Classroom Manager of Educational Partnerships or Account Representative will collect your district’s preferences and submit them directly to our technical team to initiate setup.
To help you discuss options with your representative and IT department, review the three supported integration paths below:
-
ClassLink (Recommended for ClassLink Districts):
- Best For: Districts using ClassLink for automated rostering and SSO.
- How It Works: Secure, automated data sharing via the ClassLink Roster Server.
-
CollaborativeClassroom Connect (Automated SIS / SFTP Rostering):
- Best For: Districts utilizing direct SIS API connections or SFTP file transfers to automate user and class roster creation. Read a Support Center article to learn more.
- Note on Clever: While automated rostering directly through the Clever platform is not supported, you can continue using Clever SSO for user authentication while we connect to your SIS for backend roster data.
-
Self-Registration (Manual Setup):
- Best For: Smaller districts or pilot schools where teachers manually create their own accounts and classes using a secure school registration code.
Step 2: What to Expect During Technical Setup & Outreach
Once your Collaborative Classroom representative submits your technical onboarding preferences, our technical operations team handles the backend configuration:
- For SSO/Rostering Setup: Our integration technical team will reach out directly to your designated IT Director AND designated School Admin. This communication will contain a welcome email along with template messages (your Staff Communication Kit) to help you easily inform school staff about the transition.
- For Self-Registration Setup: Your designated District and School Administrators will receive a welcome email containing directions for how to obtain your district’s school access codes, administrative access details, and your Staff Communication Kit.
- Confirmation: Your Account Manager will be notified automatically as soon as setup is complete so we can ensure your team is ready for training and rollout.
